Five Questions to Consider to Host More Sustainable Business Events
With in-person events close to officially being given the green light, planning and hosting a more sustainable event can be quite overwhelming. But here at Legacy, we want to help event organisers with the tools and resources they need to take the necessary steps to deliver an event that not only has a more positive impact on the environment but also drives positive, social change.
Over recent years, we have become more and more aware of the environmental impacts of everything that we do. From climate change and pollution to one of the main concerns which is waste disposal. Most specifically plastics.
Here in the UK alone, it is estimated that five million tonnes of plastic is used every year and almost half of this figure is towards packaging. The biggest problem with plastic is that they do not decompose and if they do, tends to last centuries in our landfills before it happens.
Here are five questions that you can ask venues and suppliers, to better understand sustainability practices:
1. Are on-the-day delegate packages sustainable?
Encourage your guests to bring their own reusable water bottles and point them towards water refill stations or provide them with water jugs and glasses on the tables. Not only will this help reduce the use of plastic bottles, but it also reduces the waste at the end of your event.
Reusable coffee cups which can be customised with your branding or event logos can also be given to your delegates.
You can serve condiments (sugar, pepper, salt) in bulk and have your attendees take them as needed.
These are some great ways to encourage your delegates and have them get used to using more sustainable alternatives.
2. Is your venue a short distance to Public Transport, accommodation, and hotels?
Cut back on your overall environmental impact by choosing a venue that is close to public transport and accommodation for ease of access.
By doing so, not only will it be convenient for your attendees to reach the venue, but the decrease in travel time means that less CO2 is being released into our atmosphere.
3. Does your venue have a recycling programme?
This is very straightforward, but one of the main things you should consider is how your venue deals with its waste and recycling.
Make sure you have a map of where the recycling points are around the venue and ensure that there are a lot of visible signs pointing towards them for your delegates to see and follow.
If you?re hosting a big conference, it would be worth gathering a team of stewards to point attendees towards the recycling points and also the water refill stations.

5. What practices are in place for food waste production?
Going back to asking about your venue?s recycling programme, you should also ask them about how they manage and recycle their food waste. Does the venue have recycling measures in place for food waste to turn into compost?
If you are able to use external suppliers for your event, try and find a sustainable supplier to cater to your attendees. When choosing your sustainable food and drink suppliers, research their websites and see what they?re doing to reduce their environmental impact in terms of their food packaging.
With sustainable event catering, not only will suppliers provide locally sourced and seasonal ingredients which significantly reduces the food miles, but also take into consideration their packaging.
By asking these questions and making the necessary changes could make a much larger impact in your events.
